Creator Management
As the event creator, you have special management tools to control your planning event throughout the voting process. These tools are only visible to you and help you keep the planning on track.
All management functions described below are only available to the event creator. Participants cannot access these tools.
Editing Planning Events
You can modify various aspects of your planning event after creation:
Event Details
Date Options
- Can edit: All date options, voting deadline
- Effect: All existing votes are cleared and voting resets to Round 1
- Status reset: If in Round 2 or finalization, drops back to Round 1
- Restrictions: Cannot edit during finalization phase
Location Options
- Can edit: All location options
- Effect: All existing location votes are cleared
- Status reset: If in date voting, drops back to location voting
- Restrictions: Cannot edit during finalization phase
Fixed Event Date (Location-Only Planning)
- Can edit: Event start/end time, voting deadline
- Effect: Participants see updated event times
- Restrictions: Cannot edit during finalization phase
Editing date or location options will clear all related votes and may reset voting phases. Participants will be notified and can vote again.
Managing Deadlines
Extending Deadlines
When deadlines pass without full participation:
Select how many hours to add (1-24 hours) using a slider. The new deadline starts from the current time, not the original deadline.
All participants receive notifications about the new deadline and can continue voting.
Advancing Voting Rounds
Instead of extending, you can proceed to the next phase:
When advancing, you get two choices:
- Keep all participants: Proceed with current votes from everyone
- Remove non-voters: Kick out people who didn't vote, then proceed
• Available in all voting phases
• Removes participants who haven't voted in the current round
• Removed participants get notifications explaining why
• Voting continues with remaining participants
Managing Participants
Adding Participants
- You can add new participants at any time after creation
- New participants start with "pending" status and receive invitations
- They can join ongoing voting phases immediately
Removing Participants
- You can remove individual participants at any time
- If removed during voting, the system checks if remaining participants have all voted
- May trigger automatic advancement if all remaining participants voted
- Removed participants receive notifications
There's no direct "edit participants" screen. You must add/remove participants individually through the event details.
Event Finalization
Manual Finalization
When voting results in ties or you need to make final decisions:
Choose from the top-voted date options (only tied or winning options are available).
Specify the exact start and end times for the event. Times are converted to UTC and then shown to participants in their local timezone.
Once finalized, your planning event becomes a regular event with fixed details. Participants can accept/decline as normal.
Event Cancellation
You can cancel your planning event at any time:
- Complete cleanup: All planning data, votes, and options are deleted
- Participant notifications: Everyone receives cancellation notifications
- No restrictions: Can cancel from any voting status or phase
- Irreversible: Once cancelled, the event cannot be restored
• Events auto-cancel if all date options become past dates
• Events auto-cancel 10 days after deadline with no creator action
• You'll receive warnings before automatic cancellation
Status-Based Restrictions
Creator Notifications
You receive special notifications as the event creator:
- Voting complete: When all participants vote and you can advance
- Voting ties: When Round 2 ends in a tie requiring your decision
• Send reminder notifications to encourage participation
• Monitor voting progress with the real-time progress bar
• Consider participant timezones when extending deadlines
• Use the remove non-voters option carefully - it's permanent
